How to chase a late invoice without losing the client (with email templates)
Most late invoices are forgotten, not disputed. A polite, scheduled follow-up gets them paid. Here is the schedule, four email templates, and the habits that mean you rarely need them.

Chasing money feels awkward, so most freelancers put it off. Then an invoice that was a week late is two months late, and the conversation really is awkward.
The good news is that most late invoices are not disputes. The invoice went to the wrong person, sat in a queue, or simply got forgotten. A calm reminder at the right time fixes most of them, and a schedule means you never have to decide when to send it.
Before it is late: make it easy to pay on time
The best chase is the one you never need to send.
- Agree terms up front. Put the payment terms in your quote and contract, not only on the invoice.
- Send the invoice to the right person. Ask who pays invoices, not just who you work with. In larger companies it is often an accounts address.
- Invoice promptly. An invoice sent the day the work lands gets paid sooner than one sent at month end.
- Make paying one click. Add a Stripe payment link to the invoice as well as your bank details.
- Use a real due date. "Due 14 November" is clearer than "Net 14".
A simple chasing schedule
| When | What to send |
|---|---|
| 3 days before due | A friendly heads-up |
| 1 day after due | A short reminder |
| 7 days after due | A firmer reminder, asking for a date |
| 21 days after due | A final notice with next steps |
Adjust the gaps to your clients, but keep the schedule. Consistency is what makes it feel routine rather than personal.
Four email templates
Copy these and make them yours.
1. Heads-up (3 days before due)
Subject: Invoice INV-0148 due Friday Hi Maya, a quick note that invoice INV-0148 for 2,400 is due this Friday. You can pay by card here: [payment link]. Bank details are on the invoice if you prefer. Thanks!
2. Reminder (1 day after due)
Subject: Invoice INV-0148 — now due Hi Maya, invoice INV-0148 for 2,400 was due yesterday. It may already be on its way, in which case please ignore this. If not, here is the payment link again: [payment link]. Let me know if you need anything from me to process it.
3. Firmer reminder (7 days after due)
Subject: Invoice INV-0148 — 7 days overdue Hi Maya, invoice INV-0148 for 2,400 is now a week overdue. Could you let me know when I can expect payment? If there is a problem with the invoice, tell me and I will fix it today. Payment link: [payment link].
4. Final notice (21 days after due)
Subject: Final notice: invoice INV-0148 Hi Maya, invoice INV-0148 for 2,400 is now three weeks overdue and I have not been able to get a payment date. Please arrange payment by [date]. If I do not hear back by then, I will need to pause work on the project and take the next steps set out in our agreement.
Only mention pausing work or late fees if your contract allows it, and only if you will actually follow through.
When there is a real problem
If the client says the invoice is wrong, fix it quickly and reissue it with the same number marked as revised, or with a credit note if you use them. If they say they cannot pay right now, agree a date or a payment plan in writing. A plan they keep is better than a full amount they never pay.
If an invoice is seriously overdue and the client has stopped replying, look up the late-payment rules where you and the client are based. Some places give small businesses a statutory right to interest or compensation on late commercial payments, and the rules differ widely.
Habits that keep receivables short
- Look at receivables weekly, grouped by how late they are: current, 1–15 days, 16–30, 31–45 and 45+.
- Mark invoices paid the moment money lands, so you never chase a client who has paid.
- Ask for deposits on new clients and big projects.
- Keep the history on the client's record. Next time you quote them, you will know how they pay.
NabuOne shows receivables in exactly those age bands on the invoices overview, lists what is due in the next fourteen days, and puts every invoice and payment on the client's timeline. When an invoice is paid through its Stripe link, it updates on its own.
The short version
Make paying easy, send reminders on a fixed schedule, keep every message short and polite, and agree a date when there is a real problem. If you want to tighten the rest of your pricing too, see how to price freelance software work.
